Admin/Exec Assisstant Part-Time, up to 20 hours week.
So, let me tell you about me, my company and the job.
My name is Tim Chudy and I run a company called Fitness Together with a location in Des Peres. My business essentially runs with me and fitness trainers.
Business is thriving, thus my time is very limited and I'm becoming overloaded, so we now need an additional person to help with administrative and customer service tasks.
Essentially, I'm looking for a 'second-in-command' admin/customer service/personal assistant.
An executive assistant, if you will.
Our business is run predominantly through client appointments. Although mail, internet, and phone are also used.
We train and coach our clients on fitness and nutrition to reach their goals. We work with our clients in a one-on-one atmosphere. It is a very private and exclusive setting. We train some very prominent people in St. Louis. I tell you that not to impress you, but only so you understand my positioning within this industry.
If you are hired for this job, we will start with you coming to the office 4 days a week, time to be determined, Monday through Thursday. If and when appropriate, a full time position may follow.
Bottom line: you’ll get at least 15 hours of work per week starting at $9 per hour (Raises and bonuses are in place as well). We offer a casual, fun environment, a nice work space and the opportunity to learn the inner-workings of a successful small business.
Oh yeah, I’m also very fair, respectful and appreciative. I like having fun and making money providing highly valuable products and services. You will be compensated fairly, treated fairly and I will certainly look for ways to pay you more for your efforts if they warrant it. But most of all, I'm looking for someone I can trust who will take the work seriously while having a good time doing it. Because that’s precisely the way we operate around here.
Tasks We Need You To Perform

Answering and returning phone calls from client and prospects: While our phone does not ring off the hook, the volume of calls is increasing as our client base grows. Most of the calls will involve answering questions about our programs and services, as well as customer service questions or tasks (such as program upgrades, account updates, etc.). When you’re not here to answer the phone, many of the calls will go to voicemail. You’ll be responsible for returning those calls the next day.

Responding to customer service emails: We get quite a few emails every day. You will need to respond to each of these with basic information I’ll provide to you. So you need to be comfortable with using email and be a good typist.

Filing: Basic stuff to keep up with the paper flow.
•
Daily mail and product fulfillment: You will be responsible for preparing and mailing the appropriate 'welcome' package(s) when new clients begin a program. We also reward our loyal customers by sending them a 'thank you' letter and promotional gift item. These are very simple items to fulfill and the business management software we use will alert you exactly when these need to be done. The amount of mailings will vary from day to day.

Monthly Newsletter fulfillment & mailing: Each month we fulfill and mail a newsletter to all levels of our program customers. At this point, we currently send out around 200 newsletters each month. We continuously add new members to our programs, so the number of newsletters to mail each month will continue to grow.

Special Project Work: At any given time we will be working on various projects that will require your assistance. This is where you will need to be adaptable. Such projects would include: large volume marketing mailings, data entry projects, fulfillment of product promotions, assistance with new product launches, internet research, etc.

Various Administrative Tasks: These will include typical tasks to assist in the flow of operations in the office. Such as: sorting incoming faxes, outgoing faxes, office supply and mail supply lists, keeping track of product supplies, inputing and/or updating client information in database, etc.
Required Skills
These are the skills you must already have in order to qualify for this position:

Computer skills: Since you will be doing a lot of work on the computer, you will be required to have moderate computer skills, feel comfortable working with the internet and basic Microsoft programs, as well as the ability to learn and adapt to new software. We will train you on the business management software we use, it is not a complex or difficult system, but again will require you to have existing computer skills.

Microsoft Word, Publisher, Excel, Powerpoint, Internet: You must be very comfortable with using the basic Microsoft programs and internet applications.

Good Phone Personality/Etiquette: You will be talking with our customers, who are VERY important to us, and prospective customers, who are also important. You must be comfortable conversing on the phone and know how to conduct yourself professionally, take clear messages and deliver clear instructions to the caller. We’ll teach you everything you need to say and do, but we can’t teach you manners and professionalism.

Email: A great deal of your work will be via email. We use a program that’s easy to learn (you’ll understand it within 30 minutes). You need to be very comfortable and proficient with email.

Thoughtfulness, Time Management and Organization: I need you to be able to think for yourself and be organized. We need you to also be able to manage your work time, between daily tasks and special project work. You must be able to maintain daily tasks when given special project work. I am very serious about this one. I do not want a robot, I want someone who is confident, adaptable, and who can learn and grow with us.
